Raahaao Load Management

The office side of moving freight. Every load from the booking call to the money landing, and the paperwork in between.

Written for small and mid-sized carriers — a handful to a few dozen trucks, where the whole office is one or two people who also answer the phone.

What it replaces

Most carriers this size run on a spreadsheet, a shared folder, and somebody’s memory.

That works until it does not. The invoice goes out with last month’s rate. A proof of delivery is somewhere in a scanner folder called Scan_0047.pdf. A client rings about an invoice from six weeks ago and finding it takes twenty minutes. A subcontractor gets paid twice because two people were looking at two copies of the same spreadsheet.

None of that is a software problem exactly. It is a filing problem — and it costs a small carrier real money, in rework, in invoices sent late, and in the ones never sent at all.

What it actually does

Loads

Pick up here, deliver there, for this client, at this rate. Each load carries its driver, its route including intermediate stops, pickup and delivery times, skid count and weight, and a rate that can be flat, per‑mile or itemised into separate charges.

It warns you on a duplicate order number before you save, because entering the same job twice is the most common way a carrier bills wrong. Loads are cancelled rather than deleted, so “what happened to that job?” is still answerable a year later.

Clients and drivers

Clients hold a billing address, a phone number and several email addresses, because “send the invoice to accounts payable but copy the dispatcher” is the normal case, not the exception.

Drivers are either on payroll or contractors you pay per load. That distinction runs through everything: contractors get orders raised, invoices received and 30‑day terms; internal drivers do not.

Documents

Every load gets a folder, and scans land in it. Drop in a pile of them and the app reads each filename for an order number and files it against the right load. What it cannot match goes to an Unmatched list you assign by hand — it never guesses, and it never quietly attaches a document to the wrong job.

Filing a proof of delivery moves the load along and opens the invoice, because in this business the POD is what makes a job billable.

Invoices

Raised from a load, so they inherit the client, route, dates and rate instead of being retyped. Change the rate or the route and the invoice and its PDF follow. Once an invoice has been sent it is frozen — that is a record of what the client received, and correcting one is a credit note, not an edit.

It tracks both directions of money: what clients owe you, with an aging view, and what you owe subcontractors, with a pay‑by date counted from the day you received their bill.

The paperwork it prints

Six documents, all as PDFs in your own colours and logo. The app is sold to carriers, so it should look like your company on the invoice your client receives, not like ours.

It runs on your computer, not ours

The app, the database and every document sit on your PC. No cloud account is needed to do a day’s work, and your data is never on anybody else’s server.

  • Offline-first, not offline-only. It reaches out for three things: to check for updates, to report that it is alive, and to sign in. Everything else works with the network unplugged — which for a haulage office with patchy internet is the difference between working and not.
  • Updates install themselves. A signed, encrypted update is fetched, checked against a key built into the app, and applied — backing up your database first. You do nothing.
  • Your data is yours, provably. One button writes a zip to your desktop: every table as a spreadsheet you can open in Excel, every PDF and scan, and the database itself.

What it costs

One price, one computer, no setup fee.

Your licence runs on one computer — the first one you sign in on. If a PC dies or you move office, sign in on the new machine and we approve the move; it is a message to us, not a purchase.

Pay by card. You will get your licence key, a link to choose your own password, and a link to download the app, all by email within a few minutes.

Ask about this software

Changing or cancelling

Cancel whenever you like, from the link in any receipt. There is nothing to phone up about and no notice period.

You keep working until the end of the period you have paid for. Cancelling is not deletion and it never takes effect the moment you click it.

After that the app becomes read-only: everything can still be looked up, searched and printed, and the button that exports all your data to your desktop still works. Nothing is sent, saved or changed. Holding someone’s invoices hostage is not a business model, so we do not.

What it deliberately is not

Better to know now than three weeks in.

Not a TMS for a large fleet

No load boards, no EDI, no telematics, no driver app. It is the office’s paperwork, done properly.

Not accounting software

It tracks what is owed and what is owing, and prints a register for the bookkeeper. It does not do payroll, ledgers or tax filing.

Not multi-user

One office, one machine, one copy. Two people editing the same load from two desks is a different product at a different price.

Not a web app

A deliberate trade: your data stays on your machine and the software works without a connection. The cost is that it is Windows-only, and each machine is licensed separately.
